Moving From Spreadsheets or Tally to a Cloud ERP: A Step-by-Step Plan

Switching business software feels risky, especially in the middle of a financial year. But with a clear plan, most growing businesses can move billing, stock and purchases to a cloud ERP in days, not months, without missing a GST filing.

Step 1: Write down what hurts today

List the problems you want to solve: slow billing, stock that never matches, purchases tracked on paper, no visibility from home, or month-end reconciliation. This list becomes your checklist for evaluating software and your measure of success after the switch.

Step 2: Pick a clean start date

The start of a month or quarter is easiest, because opening balances and GST periods line up neatly. Avoid your busiest season if you can.

Step 3: Clean up your masters

  • Products: names, units, HSN codes, GST rates, prices, barcodes
  • Customers and vendors: GSTINs, addresses, states, contact details
  • Locations: shops, branches and godowns

Removing duplicates and fixing HSN codes and GSTINs now prevents invoice errors later. Most cloud ERPs, including Saarthi, let you bulk-import these from spreadsheets.

Step 4: Load opening balances

Enter opening stock by location, and opening balances for customers, vendors, cash and bank as of your start date. Double-check totals against your old records.

Step 5: Set up users and permissions

Create logins for counter staff, managers and accountants, and decide who can edit prices, give discounts, adjust stock or see reports.

Step 6: Run a short parallel period

For a few days, bill in the new system while keeping your old process as a backup. Compare daily sales and stock. Once the numbers match and staff are comfortable, retire the old process.

Step 7: Keep your accountant in the loop

If your accountant uses Tally, check whether your new system can export data to it. Saarthi can export masters, opening balances and vouchers to Tally, so your accountant's workflow stays the same.

Step 8: Review after 30 days

Go back to your list from Step 1. Is billing faster? Does stock match? Are purchases tracked? Use the answers to fine-tune settings and training.
